Gmail Tip: Reorganizing Emails in Labels

At work today I was organizing my gmail and I was really appreciating Gmail labels and ran into a problem I was able to navigate through. Originally I’d taken a minimalistic approach and I tried to put all email in one of about 4 labels, one of which was Current Projects. Originally this worked well until I found I had several emails from several projects under this label at which point the label became meaningless.
REORGANIZE GMAIL LABELS: DETAILS
In this case I wanted to expand Current Projects into clients, so let’s use ficitonal Acme Corp, Best Enterprises and Client Management LLC. Here ar the steps and workarounds when you run into trouble reorganizing your emails into new labels.
To start I clicked Current Projects label showing me all of the emails I need to assign new labels. From the I did a search to find all emails for Best Enterprises, so I could click the All link to highlight all of the emails I found via search for this client, then assign it to the new label “Best Ent.” After the new label was assigned I could then select More Actions > Remove > Current Projects and all of the Best Enterprises emails were now assigned their own label.
The next 2 groups of emails defied my best attempts to repeat what I’d done above so I was stuck either doing several searches, or going up and down the list of emails and individually selecting the checkbox next to each one. I decided to go with individually selecting the checkboxes and then changing their label, and when I did so wouldn’t you know it I put all of the Acme Corp emails into the Client Management LLC label. Luckily there is not only an undo feature, but all of the emails were assigned the newly created Client Management LLC label needed to be assigned the Acme Corp label. Easy to fix, either click the undo link then assign the correct label, or select all of the emails in the wrong label and assign them the new label, them remove the wrong label. I chose the former simply because I’d never used “undo”. Running on broadband undo action on about 30 mis-filed emails took what felt like forever (probably 10-30 seconds). The last steps were to assign the correct label (Acme Corp), remove the Current Projects label, then drop all of the remaining Current Projects emails into the Client Management LLC label.
REORGANIZE GMAIL LABELS: QUICK RUNDOWN
- Select the label you want to reorganize
- See if you can use the search function while in that label and reassign large chunks of emails to the new label, then removing the old label
- After searching becomes useless switch to manually clicking the checkbox next to emails and reassign them to the new label, and remove the old label
- Luckily when you reassign labels in this fashion you can click and undo link at the top of the screen if you’ve just assigned a bunch of emails to the wrong place
REORGANIZE GMAIL LABELS: QUESTIONS
Q. Why not remove the old label first, then assign the new label second?
A. I tried that and considering step 1 was to go into the label that needs reogranizing that means when you remove the old label as step 1, all of those emails disappear from the current view and you need to switch labels to then remove the old label.
Q. Why not use search to identify all of the emails instead of doing manual selection of checkboxes to reassing the labels?
A. If you can do that, great! In my case it simply wouldn’t work since project info was emailed to from the same people (could not identify a searchable FROM email address) , the name of the client or their website was not present in all emails (could not search SUBJECT or BODY for any readily identifiable terms), and the timelines of the projects overlapped wildly (could not ssearch by date ranges).

Integrate Tasks and Email with New Gmail Feature – Tasks

Gmail has added a new Labs feature: Tasks. Just go into Settings > Labs and enable Tasks and you get a new navigation item under Contacts called Tasks. Just click Tasks and it opens a window similar to the chat window that can pop out. Add new tasks, drag-n-drop to reorder them (see screenshot), mark emails as tasks and you can even attach notes to tasks – so you get more than just a task list.
Navigating the Tasks window is exactly like the chat window, its in the same place and the menu at the top works exactly the same… click the title bar to mimize/restore, there’s a button for minimize, pop out, and close.
The menu options at the bottom let you make a new list, switch to a different list, rename your list, refresh or delete the list and there are several other cool features in the actions menu. Check out the original post for more information.

Gmail for Google Desktop – Finally!

I turned my Google Desktop off some time ago because it was taking up too much of my time and competing with other apps and slowing my computer down. Now I have a reason to actually do a full uninstall and prepare my computer (defrag etc…) for a fresh install …. Gmail in Google Desktop!
I’ve got a Windows Vista laptop but all of my desktops are Windows XP, and I always thought the Google Desktop’s sidebar was really cool (ok, yes I guess that makes me a certified geek).

Android-powered T-Mobile G1 is Garage Door Opener

Brad Fitzpatrick, a Google employee from San Francisco wrote and adopted some Android software on what I am assuming is his T-Mobile G1 to scan for his garage door opener’s server (yes! his garage door opener has a server!) then when its detected an authentication process and logging takes place and his garage door begins opening in time for him to pull in.
INTERESTING QUOTE:
I now have an Android Activity (GarageDoorActivity) which interacts with an Android Service I wrote (InRangeService), letting me start and stop the service’s wifi scanning task. The service gets the system WifiManager, holds a WifiLock to keep the radio active, and then does a Wifi scan every couple seconds, looking for my house.

Android Garage Door Opener, part 2
Google comes to South Carolina

On October 7, 2008 the ribbon cutting ceremony at Google’s 500-acre data center in Berkeley County, SC. The new data center is in the Mount Holly Business Park on route 52 between Moncks Corner and Goose Creek, South Carolina.
The Goose Creek Gazette had this mouth-watering comment:
The company, which is bringing a major data center to Berkeley County, hosted a ribbon cutting ceremony followed by a barbecue chicken/Lowcountry boil supper at its 500-acre site in the Mt. Holly Business Park, between Goose Creek and Moncks Corner.
But the data center is still in “beta”. According to The Post and Courier:
The local Google data center is still in the testing phase, and a second, identical building under construction nearby is far from complete. But local Internet users probably won’t notice when it does open up, said Andy Johnson, manager of Google’s global data center development.
Hey, I’ll work for Google any day, woudln’t you?! Anyway, having a Google data center so close to my house is cool enough, but check this out from CNN.com:
According to a patent application seen by London newspaper “The Times,” Google is considering launching barges up to seven miles (11km) offshore to host the massive data centers required to run its Internet search engines.
The plan would likely see the data centers — which consist of huge supercomputers — use wave energy to power and cool themselves while stationed at sea.
In the application Google states: “Computing centers are located on a ship or ships, anchored in a water body from which energy from natural motion of the water may be captured, and turned into electricity and/or pumping power for cooling pumps to carry heat away.”
I am really impressed with news recently about green companies and “recycled energy“. Its cool that some of today’s businesses are looking toward solar, wind and water for energy generation and reusing the resources we have instead of relying totally on conventional energy.
